Day to Day Business Organisation.

We had the same problem. Very frustrating chasing your tail all the time! When ever we get a enquiry i take there details on a pad, name, addresse, phone number, email..... I arrange a time to see the job. When I look at the job, I write out a quote on triple carbon copies. Top one (with t&c on the back for them) two for us (one job sheet, one for the office). They get put in a file. When they accept the job they get moved into another file, newest to the back.

 

On a Sunday night I ring up and arrange the weeks work, take the pink job for the lads. When we do the job the details get put on the invoice system and a printed invoice if written and posted out.

 

I inns this to be the best and most efficiant way of handling large volumes of work. Also my wife has a copy of the quote so she can type out a invoice as soon as the works done. Also the customers details are stored on the invoice system.

Can keep all your client details easy e-mail quotes make them in to invoices, Let's you no how much your have quoted for how much you have made you can Add all your receipts to it as well, Been using it 2years now and love it

 

One Draw back think its only Windows so no use for the Iphone etc

Although technology is fantastic these days I believe you need to secure someone part

time to handle the day to day office affairs. Think of this suggestion as an investment

to run your business more effectively and efficiently. Being able to delegate authority is not always easy and trusting and depending on your "Girl Friday" type person may seem difficult at first, however the peace of mind you will acheive in time beats being worried

about this or that.

I guess there's not one program that can do everything! I think Ricks system of icalendar and pages along with the other suggestions of a spreadsheet will be the way forward.

I've looked into invoicing software but it never seems to be able to do the exact operation I want it to. I used to use 'profit train' for the mac which worked to a degree but it couldn't do some simple tasks, so I binned it!

 

What you need is a business manager :)

 

Funny enough, my mrs is off on maternity at the moment and she wants to help with the running of the business. Hence the need for interaction between apple devices.

I could be out on a job and she can be answering the phone booking in quotes and booking jobs and we each will know availability etc.
