Invoicing the contractor

I'm on my first sub contracting job after passing my felling course.

 

The site manager has asked me to invoice for my work so far. I'm wondering what format the invoice should be. I've supplied all my own kit and fuel/oil.

 

The contractor is a large plant and haulage company prepping the land for development.

You will need your company name, contact details, the client details and address. An invoice number (these will need to be consecutive but you don't have to start at 1). Date of raising the invoice and a date for payment (usually 30 days, but you can reduce it if you need to).

 

The main body should have a detailed description of the works, you could just say 'day works to carryout tree removal/pruning at (name of site), or number of trees and species. You can include wording to say that you have supplied your own kit, but I would only include that if it was outside of what you would normally do. ie is it something that you have had to hire like a crane etc.

 

You will need to have quantity, a rate cost, and most importantly the total cost and if VAT is included. Make sure its got payment terms and bank details so they know how to pay. If you can put down bank details so they can make an online payment as most people like this now.

 

If you google invoice templates, you will find a lot of them.

Hi

 

Dont forget VAT & Company number if you run a Ltd company for when they reclaim VAT etc.

 

I also have a "if you wish to discuss this invoice please call & telephone mtn or ll" number that way if problem arises you at least get to know about it.

 

Make sure the invoice issue date is clear with a settlement required by on or before date so they know how long they have, keep a check of this as some 'forget' so you need to chase them as its your cash! I used to do this every Monday morning if needed, then theyve got the week to sort it.

 

Dont work in Arb but ran Ltd Co as IT contractor for about 17 years,

 

Good luck with your new venture, its hard work at first in any new biz but i suspect Arb one the hardest.
